Employee Notice Template

A disclosure notice that organisations using Atlas Talks for their employees can fill in under their own name and give to their employees. The organisation fills in the places in square brackets and decides the legal basis and retention period itself. If the link to the completed notice is entered in the organisation settings on Atlas Talks, it is shown to employees on the invitation screen.

1. Data controller

[Organisation's legal name, address and contact address] ("the Organisation") is the data controller for the personal data processed in connection with your use of Atlas Talks. DERİN AKADEMİ EĞİTİM VE DANIŞMANLIK HİZMETLERİ LTD. ŞTİ., which provides Atlas Talks, processes those data on the Organisation's behalf as data processor.

2. Purpose

The Organisation offers you Atlas Talks to support your professional development by letting you rehearse difficult workplace conversations aloud with artificial intelligence.

3. Data processed

  • Identity and contact: name, surname, work email address.
  • Usage details: the product and case you practise, the time and duration of the rehearsal, whether it was completed, and the credits used.
  • Rehearsal content: your voice during the rehearsal (processed in real time, not kept), the transcript and the artificial intelligence Coach's evaluation.

4. What the Organisation sees and never sees

  • The Organisation sees: which product and case you practise in the organisation's space; when, for how long and whether you completed it; the credits used.
  • The Organisation never sees: the rehearsal's analysis or the Coach's evaluation; the transcript or the voice recording; anything you do in your personal space, linked to you.

If you choose to share a result with the Organisation, it sees only the case, when it was completed and whether you reached the goal. Sharing and withdrawing a share are up to you.

5. Artificial intelligence and recording

During a rehearsal you talk not to a person but to a character voiced by artificial intelligence. Your conversation is recorded for the length of the rehearsal and processed by Atlas Talks and its artificial intelligence service provider. The voice recording is not kept; the transcript and the Coach's evaluation are shown only to you.

6. Transfers

Your data are transferred to Atlas Talks's sub-processors to provide the service: to ElevenLabs (USA) for the spoken rehearsal, transcription and evaluation; to Amazon Web Services (Germany) for hosting, the database and email.

7. Legal basis

[The legal basis the Organisation chooses; for example, performance of the employment contract (KVKK Article 5(2)(c)) or its legitimate interest in supporting its employees' professional development (Article 5(2)(f)).] This processing does not rest on your explicit consent.

8. Retention

[The Organisation's retention period for its own records.] Atlas Talks does not keep voice recordings; transcripts, the Coach's evaluations and person-linked usage records are erased or anonymised after 18 months.
